December 2023 Coburn Free Library Board Minutes

Meeting of the Board of Trustees of the Coburn Free Library December 14, 2023

Present: Linda Williams, President, James Pritchard, Vice- President, Ellen Keough, Secretary, David Woodburn, Treasurer, Carlynne Freitag, Trustee, Joe Palladino, OACSD Trustee, Mikayla Worzel, Executive Director

Excused: Mike Fenn, Trustee

Absent: Jason Luke, OACSD Trustee, Mike Phelps, OACSD Trustee

Approval of November Minutes: Dave Woodburn moved that the November minutes be accepted. James Pritchard seconds. Approved.

Financial Report: Account balances have been reconciled to statements for November. From Bank Statements as of 11/30/23:

Director Discretionary Fund $ 3,641.28

Line of Credit $ 26,628.15

Regular Checking $ 85,579.18

Endowment Fund $ 774,337.80

While we are still waiting on the funds from the school district, cash flow is sufficient through year end. Therefore, when payment is received we will place $60,000 in a 6 month CD as interest rates are good. Payment of approximately $12,000 will be due in November on the Line of Credit. This will be reflected in the December statements. Annual Fund drive raised over the budgeted amount for this year. All thank you notes have been mailed.

Director Report: The grant from Tioga Downs for the remainder of the storm window project cost, $13,000 was awarded. So along with the funds from the Mildred Faulkner Truman Foundation we will be able to replace storm windows. Mikayla will be contacting Tioga Gardens for estimates on grading the area surrounding the gazebo. Rotary will have some funds to help with this expense.

Old Business:

HVAC proposals: Dave Woodburn has names of 3 companies to approach for estimates. Joe Pallidno gathered some information on grants for heat pumps from NYS. Carlynne will take a look at the grant to see if we can apply. Dave, Dean Smith and Nina Smith will work to rehabilitate the second floor windows, one window at a time. We are again looking at the repair of the front steps. They are constructed of BlueStone. There is some problem with the BlueStone that makes this a recurring problem with our freezing and melting weather. Also a reminder that the front doors are in need of refinishing.

New Business:

Staff bonus for holiday discussed and approved.

Reminders about Trustee education requirements from the state.
